  • Via Our Contact Form: When you submit an inquiry, we collect your Name, Email Address, and any details you type into the message box.
  • Via ClassForKids (Children's Bookings): To book a youth class, we collect:
  • Parent/Guardian Info: Name, email, phone number, and billing address.
  • Child’s Info: Name, date of birth, and gender (to ensure correct age-group placement).
  • Emergency Details: Name and phone number of an alternative contact.
  • Health/Safeguarding Info: Medical conditions, allergies, or special educational needs (SEN) required to keep your child safe.
  • Via Ticket Tailor (Adult Bookings): To book an adult workshop, we collect:
  • Attendee Info: Name, email address, and phone number.
  • Optional Info: Any accessibility requirements or dietary/allergy notifications you choose to share with us ahead of the event.

2. How and Why We Use Your Data

We process your data based on clear legal grounds:

  • To Fulfill a Contract: Managing attendance, processing ticketing data via Ticket Tailor or ClassForKids, and checking you or your child into a workshop.
  • For Safety & Legal Obligations: Retaining medical information and emergency contact numbers during workshops to fulfill our health, safety, and child safeguarding duties.
  • Legitimate Interests: Responding to your contact form inquiries and sending critical administrative updates regarding a workshop you have booked.
  • Consent: Sending our marketing newsletter only if you actively opted-in during checkout. You can unsubscribe instantly at any time.

3. How Your Data is Shared and Processed

We never sell, rent, or trade your personal data. It is shared only with trusted tools required to deliver our services:

  • ClassForKids: Securely manages our youth registers and parent accounts.
  • Ticket Tailor: Processes our adult ticketing and event check-ins securely.
  • Stripe / Payment Processors: Payments through ClassForKids and Ticket Tailor are processed securely via encrypted third-party gateways. We never view or store your credit or debit card numbers.
  • Emergency Services: If a medical emergency occurs during a workshop, relevant health/contact details will be shared directly with medical professionals.

4. Photo and Video Imaging

We love celebrating our attendees' achievements on social media and our website. However, we will never photograph or film you or your child for marketing purposes without explicit consent.

  • The Process: We collect media permissions using custom opt-in checkboxes on ClassForKids or Ticket Tailor during checkout.
  • Usage: If you opt-in, images may be used on our official social media channels or our website. We never publish full names alongside photographs.
  • Withdrawal: You can change your mind at any time by emailing clair@creativeslab.co.uk. We will promptly remove the imagery from our digital platforms.

5. Data Retention

  • Inquiries: Deleted within 6 months of resolution.
  • Adult Records (Ticket Tailor): Retained for up to 3 years for tax accounting and standard business insurance logs.
  • Youth Records (ClassForKids): Due to strict child safeguarding guidelines, child registers and accident logs are securely archived for 5 years after the child stops attending, or longer if legally mandated by insurance providers.
